We're looking for a collaborative, communicative, detail-oriented individual to join our team as an Administrative Assistant/Human Resources Support in our Bend office. This position will serve in two primary functions: handling the administrative needs of our Bend office with some administrative support in other offices; and coordinating the firm’s Human Resources functions. Tasks for the administrative portion of the role include, but are not limited to: assisting with firm and individual registrations and licenses; data entry; periodically answering phones; internal event coordination; general coordination of company car maintenance; project support such as document tracking and filing, preparing letters and reports, and putting together spreadsheets; marketing support like coordinating project signage and assisting with the delivery of local proposals; and office tasks like greeting visitors, answering phones, keeping the office clean, and tracking inventory for supplies ordering. Tasks for HR Support include, but are not limited to: scheduling annual reviews and quarterly check-ins; coordinating those same reviews/check-ins as they approach; onboarding/offboarding for incoming/outgoing employees; support recruitment processes; and maintaining employee information and records.
After an introductory period, this position may be a hybrid office/remote role depending on then-current company needs. We will strongly consider a reduced-hour work week, but a regular working schedule will need to be agreed upon and will include some time in the office each week.
Skills needed for this position:
- Tech savvy, and willingness to learn/understand industry specific software
- Attention to detail
- Ability to prioritize work and meet deadlines
- Comfortable working under varying levels of pressure and with requests from numerous people
- Accurate data entry
- Previous task ownership for Human Resources related job duties
- Use of Microsoft products (Word, Excel, etc.) – significant experience and knowledge a plus
- Experience working with professional contracts a plus, but not required
- Associates Degree or higher
- Familiarity with architecture or engineering a plus, but not required
- 2+ years in a similar position
